Plumbing estimate and invoice templates
Most plumbing work is flat-rate by task; larger jobs like repipes are quoted per fixture or per run. These spreadsheets come set up for that, with working totals, tax and deposit, and an example 50-gallon gas water heater replacement to start from.
Free, no sign-up. Works in Excel, Google Sheets and Apple Numbers.

How to use it
- 1Download the template. Download the plumbing estimate or invoice (.xlsx). It opens in Excel, Google Sheets and Apple Numbers.
- 2Add your company and customer. Fill in the shaded company, customer and service-address cells, and set the document number and date.
- 3Replace the example lines. The example is a 50-gallon gas water heater replacement. Most plumbing work is flat-rate by task; larger jobs like repipes are quoted per fixture or per run. Change the items, quantities and unit prices to your own; line totals and the subtotal update automatically.
- 4Set tax and deposit. Mark each line taxable (Y) or not (N), enter your sales tax rate, and set the deposit percent (the example collects none, so the balance equals the total).
- 5Review terms and send. Edit the terms to match your policies, save a copy for the customer, and export to PDF to send.
Tips for plumbing estimates
- If you work from a flat-rate book, use the task code as the item name and keep qty at 1.
- List code-required upgrades (expansion tank, sediment trap) separately so they don't look like padding.
- Set deposit to zero for same-day service calls; the balance due will equal the total.
Plumbing terms included
- Pricing assumes accessible shutoffs; seized valves found during work are quoted before replacement.
- Drywall and finish repair after access openings are not included unless listed.
Plus standard validity and payment terms. Edit all of them to match your policies and local law.
FAQ
Plumbing template questions
Have a question we didn't cover? Book a demo and ask a product specialist.
How do I handle after-hours rates?
Add a line such as "After-hours service" with the surcharge, rather than raising every price. Customers accept a visible surcharge more readily than an unexplained higher total.
Should parts be taxable?
In many states materials are taxable and repair labor is not, but rules vary. The Taxable column lets you set each line; check your state revenue department.
Do the formulas work in Google Sheets?
Yes. The line totals, subtotal, taxable amount, tax, deposit and balance use standard functions (SUM, SUMIF, ROUND, IF) that work in Excel, Google Sheets and Numbers.
