The spreadsheet adds sales tax on lines marked Y once you enter your rate, and has spare rows for more items.
How to use it
- 1Download the template. Download the painting estimate or invoice (.xlsx). It opens in Excel, Google Sheets and Apple Numbers.
- 2Add your company and customer. Fill in the shaded company, customer and service-address cells, and set the document number and date.
- 3Replace the example lines. The example is a interior repaint, 3 bedrooms and hallway. Painters quote per room or per square foot of wall, with prep, trim and ceilings priced separately. Change the items, quantities and unit prices to your own; line totals and the subtotal update automatically.
- 4Set tax and deposit. Mark each line taxable (Y) or not (N), enter your sales tax rate, and set the deposit percent (the example uses 25%).
- 5Review terms and send. Edit the terms to match your policies, save a copy for the customer, and export to PDF to send.
Tips for painting estimates
- Use our paint calculator to get wall square footage and gallons, then paste the area into the quantity column.
- Price prep as its own line. It's where most bids differ, and showing it helps you win against cheaper quotes.
- List the paint line and brand in the description so the customer knows what they're paying for.
Painting terms included
- Colors are confirmed in writing before work starts; color changes after start are billed as extra coats.
- Moving large furniture is not included unless listed.
Plus standard validity and payment terms. Edit all of them to match your policies and local law.

Per room or per square foot?
Per square foot is easier to defend and scales with the job; per room is faster to read. This template works either way: change the unit to "room" and the rate to your room price.
Should paint be on a separate line?
Separating materials lets you mark them taxable and labor non-taxable where your state allows, and it shows the customer the product quality.
Do the formulas work in Google Sheets?
Yes. The line totals, subtotal, taxable amount, tax, deposit and balance use standard functions (SUM, SUMIF, ROUND, IF) that work in Excel, Google Sheets and Numbers.
