Estimate follow-up templates that win jobs (text and email)

Most estimates are won in the follow-up. Add your details and use these messages for each step, from 'just sent it' to a polite last check-in.

  1. 1. Estimate sent

Text · Right after you send the estimate.

Hi [Customer], it's [Your name] with [Company]. I just sent your estimate to your email. Happy to walk through it or adjust anything. Just reply here.
  2. 2. Two-day follow-up

Text · Two days later if there's no answer.

Hi [Customer], [Your name] from [Company]. Did you get a chance to look over the estimate? Any questions I can answer?
  3. 3. One-week email

Email · A week after sending, with a reason to decide.

    Subject: Your estimate from [Company]

Hi [Customer], I wanted to follow up on the estimate we sent last week. If the timing or budget isn't right, let me know. We can phase the work or look at other options. Our schedule is filling up for the next few weeks, so if you'd like to get on the calendar, just reply and I'll hold a spot. Thanks, [Your name] [Company] [phone]
  4. 4. Options instead of no

Text · When price is the hold-up.

Hi [Customer], [Your name] from [Company]. If the price was more than you planned, I can put together a simpler option too. Want me to send one over?
  5. 5. Last check-in

Email · Three to four weeks out. Close the loop politely.

Subject: Should I close your estimate?

Hi [Customer], I haven't heard back, so I'll assume the project is on hold for now and close out your estimate. If anything changes, reply to this email and we'll pick right back up. Thanks for considering [Company]. [Your name] [phone]
  6. 6. Seasonal reminder for past customers

Text · Before your busy season.

Hi [Customer], it's [Company]. It's that time of year again. Want us to get you on the schedule before it fills up? Reply YES and we'll find a time.

How to use it

  1. 1Add your details. Your name, company and phone. The customer's name is optional.
  2. 2Follow the sequence. Send the right message at each step: same day, two days, one week, and a final check-in.
  3. 3Copy and send. Copy each message when it's time and send it from your phone or email.

A follow-up rhythm that works

  • Same day: confirm they got it and offer to walk through it
  • Day 2: a short question, not a push
  • Day 7: give a reason to decide (schedule, options)
  • Week 3–4: close the loop politely
  • Log every touch so nothing slips

Have a question we didn't cover? Book a demo and ask a product specialist.

How many times should I follow up on an estimate?

Three to four touches over three to four weeks is a good rhythm. After that, close the loop politely and add them to your seasonal list.

Can follow-ups be automatic?

Yes. Homeforce can send estimate follow-ups on a schedule and stop when the customer approves.
